Los Angeles: help needed!
Allow me to introduce myself. My name is Mike Marco, and I'm the events coordinator for Fray Day 5 Los Angeles.
We're just getting started with planning the L.A. event. Already, we have some hard-working volunteers helping with various aspects of planning, but we're always in need of more.
First and foremost, we need a venue. We're entertaining some possibilites, but there's nothing concrete yet. Derek wants a final decision by August 8; otherwise, our event will be dropped. I really want this event to happen! If you're able to secure something for us (or are able to point us in the direction of people who can), it would be much appreciated. We're looking for a place that seats in the upwards of 100 people, if not more. (We don't want it too big, since we want the atmosphere to be more cozy and personal.) Places that are able to provide food and security are preferable. Ample (and preferably free) parking is a must. This is Los Angeles, after all. Most people will probably drive to the event.
(Side note: the event does not have to take place in the city of Los Angeles, but I'd prefer that the venue be in Los Angeles or Orange County.)
Next, I'm looking for a band to play the event. The band's primary functions are to play music while people are filing in and to provide accompaniment to presenters who want it. (Presenters are also welcome to bring and play their own instruments, of course.) A budget hasn't been put together yet (more on that later), but I can tell you right now that we won't have much money to spend. So we're not opposed to allowing the band to sell their merchandise (CDs, t-shirts, bumper stickers, etc.) to cover their costs. We'll even help them out in doing so.
Catering is another consideration. I'm hoping that whatever venue we secure will be able to provide food, but in case this doesn't happen, it'll be good to have someone outside ready and willing. L.A. is pretty ethnically diverse, and we want the food provided at the event to reflect this. We also have to consider that attendees/presenters may be vegetarian or vegan.
Also, we need ideas and materials for interactive art projects. An example of such a project is the Photo Sticker Booth Project, conceived by Heather Champ for last year's Fray Day 4 in San Francisco. The more creative, the better.
And last but not least, we need to put together a budget! More specifically, we need people who can help us estimate the cost for our various needs (the venue, the band, catering, etc.), as well as people to do a bit of accounting. Because of some of the special considerations in throwing an L.A. event (such as parking), good money management is critical.
